Disney Imagination Campus Planning Checklist

We are thrilled you are considering bringing your student group to one (or more) of our interactive workshops, performances and/or special events designed to harness your students’ imagination and creativity!

Good trip planning is a must to create the most magical experience for your student group —and we can help!

So, let’s get started! Follow this Disney Imagination Campus field trip planning checklist to help you organize and keep yourself on track.

12-18 Months Before – PREPARE

Get Approval – Speak with your school administration/district to gain approval for a Disney field trip.

Consider Fundraising Options – Are there any funding or grant options your group may be eligible for?

9-12 Months Before - PICK

Trip Dates – Select travel dates for your group. Keep in mind there is a price difference between peak and regular seasons. If your group is flexible in travel dates – consider traveling in the off-season to reduce costs. You can find 2024 Pricing information here for Walt Disney World Resort and Disneyland Resort.

Workshops, Performances, and/or Admissions – How will you engage with Disney Imagination Campus? In addition to specially priced Disney Student Tickets, we also offer Academic Workshops, Performing Arts Workshops, and Performance Opportunities for your youth group. As you make your selections, consider the minimum group sizes and other requirements for each experience. Connect with Us when you are ready to register – we are excited to help you plan! Accommodations – Where will your group stay while visiting Walt Disney World Resort or Disneyland Resort? At Walt Disney World Resort, Groups purchasing Disney Imagination Campus Student Tickets may be eligible for special group rates at our resort hotels. It can be beneficial to stay close to the magic to get some special perks like early park entry and select complimentary transportation options to and from the theme parks.

Group Meals and Private Dining Experiences – Do you want to offer your students Meal Certificates, Disney Dining Cards or a special private dining experience at a Disney theme park or resort? Consider these options that could help your group save money and provide a unique experience.

Transportation – How is your group getting to Disney? Now is the time to book airfare, bus transportation and other travel. Be sure to ask the Disney Imagination Campus team if private transportation is needed for any workshop or performance experiences your group may be participating in during your visit.

2-3 Months Before - PAY

Park Tickets – If you have not already done so, visit the online ticket store that the Disney Imagination Campus team provided to select and purchase theme park tickets.

Accommodations – If you are staying at a Disney resort hotel, ensure that your deposit has been paid and rooming list and blocking requests are provided to the Disney Imagination Campus team.

Park Reservations – Be sure to make theme park reservations. Disney Imagination Campus Student Tickets still require theme park reservations to be made. Our Disney Imagination Campus team can assist with this.

Chaperone Lists – Confirm which parents and chaperones will be accompanying your group on the trip.

1 Month Before – PACK

Meet with Parents – Host a pre-trip meeting with parents to discuss expectations, build excitement, and address any concerns.

Create Packing Checklist - Provide students with a packing checklist covering everything from personal items to performance attire and equipment.

Digital Back-up for Tickets – Write students’ first names on the back of their tickets for easy identification. Also, be sure to take a picture of the ID numbers and barcode on the back of your tickets as a digital backup in case a ticket gets lost.
